Bulk food ordering looks simple — multiply one plate by the guest count. In reality, large-scale food service is where most events go wrong. Here's how professionals do it.
Get Quantity Right
The golden rules our kitchen follows:
- Buffets need 10-15% extra over confirmed headcount
- Seated service can run exact counts with 5% buffer
- More variety = smaller portions per dish (guests sample everything)
- Evening events consume more than daytime ones
Food Safety at Scale Is Non-Negotiable
Large quantities spend more time between cooking and serving. Ask your vendor:
- How is hot food held at temperature during transport?
- What's the maximum time between preparation and service?
- Are perishables like dairy transported chilled?
At Dyaloni Foods, food testing and temperature-controlled handling are standard practice — because at 500 plates, there is no room for shortcuts.
Delivery Timing and Setup
Food should arrive 45-60 minutes before serving — early enough to set up, late enough to stay fresh. Confirm who provides serving equipment, fuel for warmers and serving staff.
The Tasting Rule Still Applies
Even for bulk orders, request a sample tasting. A vendor who cooks well for 4 people but has never handled 400 is a risk you don't want on event day.
Put Everything in Writing
Menu, quantities, delivery time, setup responsibility, payment terms and cancellation policy — a one-page written confirmation prevents 90% of disputes.
